Team-mom and booster procurement reality

Cheer and dance team orders almost always run through a team mom, booster club treasurer, or studio owner — not a procurement department. That changes the workflow in a few important ways. We collect the full roster (names + sizes) in a single Google Sheet, lock the size order before production starts, and ship to a single address with the entire bundle organized by athlete. We accept payment by booster check, Square invoice, or split payment from individual families through a parent portal we can set up on request.

For programs running multiple teams (varsity, JV, mini, tiny), we recommend ordering the whole program together. The set-up cost for embroidery is the same whether you run 12 robes or 60, and consolidating saves – per robe across the program.

Lead time and competition-season planning

Competition season for all-star cheer runs roughly November through April with worlds and nationals stacking up in late spring. The crunch period for robe production is mid-October through mid-December — that’s when most gyms place their team orders. Order 6 weeks before your first competition to leave a comfortable buffer; 8 weeks is better if your roster is still finalizing in early fall.

For high school cheer programs ordering for game-day warm-ups, the natural ordering window is late July through mid-August, with delivery before the first home football game. Dance studios with competition seasons starting in January should order in October or early November.

What’s the minimum order quantity?

The functional minimum is 8 robes for a fully embroidered team order. Smaller groups (a coach package, a captains-only run) can be done as 1- to 4-piece orders, but the per-unit price reflects that.

How do you handle the roster — do parents order individually or does the team mom collect?

Both options work. Most teams send us a single roster spreadsheet (name, size, hood y/n) and pay as a team or booster club. For programs that prefer parents to pay individually, we can set up a parent portal where each family pays directly and ships to the team mom’s address by a roster-close deadline.

Will the embroidery hold up through a season of washing?

Yes — we use commercial-grade embroidery thread that’s tested through 40+ wash cycles in standard home laundry. The robes themselves are pre-shrunk and machine-washable cold. We recommend hanging to dry to extend life, but tumble-dry low is fine.

Can we add the athlete’s number or grad year?

Yes. The most common combination is first name + grad year (e.g., “Mia ’27”) on the front chest. We can also do jersey numbers, captain stripes, or all-American badges if your gym uses them.

What sizes do you carry?

Our team robes run from youth XS (fits 5/6) up through adult 3XL. We can size up further on request for coaches or special-needs athletes. The size chart is on the product page; we recommend sizing up one for layering over a uniform.

Can different team levels in the program have different colors?

Yes — we routinely run programs where senior teams are in primary color with gold thread and junior teams are in secondary color with white thread, all in the same production batch. As long as the embroidery files are consistent, the per-unit pricing stays the same.

What about replacing one robe mid-season?

If we have your spec on file, single replacement robes ship in about 10 production days. The per-unit price for a one-off replacement is higher than the team rate, but most gyms keep a small “team mom slush fund” for exactly this.

Do you offer rush production for late roster additions?

Yes. Adding 1–3 robes to an existing order is usually possible up to 7 business days before the original ship date. For full team rush orders inside the standard lead time, we add 15–20% and require all artwork locked at order placement.
